Getting your site ready for QR-code Check-in

Select On-Site Check-In in the lower left to start. If you do not see this icon, this feature is not enabled for you, contact your Customer Success Manager to see if it can be.

From the On-Site Check-In page, click Generate Access Code to prepare the event for on-site check-in. Use Copy Access Code to copy without having to click and drag, guaranteeing accuracy.

You must provide this code to anyone responsible for check-ins.

Add a QR code to your registration confirmation email

Navigate to the Registration tab and then to the Confirmations menu item, then scroll down to the "Confirmation Email" section. Place your mouse cursor into the email editor where you'd like to add the QR code. Next, select the "Placeholders" icon from the menu above the editor and select "Attendee QR Code".

You should see a short code {{ attendee_qr_code }} has been added to the body of the email.

When you preview your confirmation email you should see the QR code appear.

If you've already started registration and opted to add QR codes after, you'll want to resend the confirmation email of anyone already registered, this can be done through their Attendee Profile at Registration > General > Attendees.

QR Codes and Multi-Registration

If your event uses multi-registration and each secondary registrant is signed up with an email address they will receive their check-in QR code email.

If the secondary registrants do not have email addresses, the primary registrant will receive the email for each secondary.

Primary registrants can always log in to their account and check their QR code along with all of their secondary registrants.

The QR code check-in process

When it comes time to check people in, anyone in charge of managing check-ins at the event will go to checkin.attendease.com and enter the code that was generated on the On-Site Check-In screen.

After entering the code, they will be able to scan attendees into the event or into individual sessions.

If you wish to scan attendees into sessions you'll see this abbreviated schedule screen.

Select Scan on the appropriate session to open a QR-code scanner, then scan the attendee's provided code. Completing this process will check in the attendee.

Note: The QR code scanner will not scan QR codes or barcodes that are not associated with your event.

What if I just want to find an attendee based on name? Or what if there are issues with their phone displaying the QR code?

After using the Attendease dashboard event code to open the correct event, go to the Attendees tab to search for a specific attendee by name or email address.

Clicking the check-in icon on the right on this screen checks the Attendee in to the event but not a specific session.

Open the Attendee's profile by clicking their name.

Here you can select individual sessions to check the attendee in to.

I just need to check-in for 1 session, how can I do that?

After using the Attendease dashboard event code to open the correct event, go to the Session Scan tab. Here you can search for a session or just select a title from the list.

Once in the session, you can check in any Attendee registered for that session.
